ONECase maintains a unique Case Number for each Case open to a Provider. The Case Number is actually a combination of a code representing the Provider and a sequence number up to seven digits long. For example, a Client receiving a Service from the 'CWS' Provider may be assigned a Case Number of 'CWS 2301'.

In this way a Case Number appears similar, at least in format, to a County Case Number. Typically, the County Case Number refers to the physical folder containing hard copy data about a household whose member have open cases. An agency may also add a prefix or suffix to break down the information according to organizational unit within the agency. For example, an agency might maintain separate record folders for the Food Stamp, Medicaid, AFDC, and Day Care services connected by the common County
Case Number.

A person who joins or creates another household moves to another County Case Number but stays open in the same ONECase Case(s).

A ONECase Case is open whenever at least one Client is open for at least one Service in the Case. Study the main "Work with Cases" screen. There is no theoretical limit to the number of Clients receiving Services in the Case. There is no theoretical limit to the number of Case Members, persons with a meaningful relationship to the Case but who are not Clients.
