STEPS: To Set Up Workers


You must set up each worker who will use the system. Usually the Systems Administrator is responsible for doing this task. This section describes the steps necessary to set up a worker.

Step 4: Check the ONECase password
Step 5: Inform the worker

What is a User ID

You will need to give each new Worker a unique User ID to sign-on to the AS/400 Application Server. User IDs on the AS/400 can be up to ten characters in length. Cox & Company recommends that you adopt a format for the User ID which can be easily remembered or figured out by all the Workers using the system. We believe the most logical form is the first six letters of the Worker's last name followed by as many letters of the first name needed to avoid duplicates. For example, using this format, the User ID for Jenny Jones would be JONESJ, the User ID for Ted Wannamaker would be WANNAMT, and the format for Jerry Jones might be JONESJER. As an alternative in this example, you could assign Jerry Jones the User ID JONESJ2.

One of the users must be G400SEC, which is the ONECase System Administration. G400SEC is the only user permitted by ONECase to access the "Work with ONECase Controls" and "Authorize ID Protected Procedures" procedures. 

The AS/400 User Profile

For each User ID there is a User Profile, which contains control settings that tell the AS/400 about the user. The profile defines important controls such as the data and program libraries needed by the user, the menu to be presented when the user signs on, and the printer to which the user's printed output should be directed. Cox & Company will show you samples and will set up these profiles for you if you want us to. Whoever sets up the profiles should:

• Ensure each sign-on Library List includes the ONECase libraries: G4001CSO, G4001CSD, G4001ADO, G4001DCO, G4001RCO, G4001PSO, G4001CSCO, G4001CSFO, and G400UTIL. The library list should also include a custom library G400XXXX, where XXXX is '3' plus your County Number.

• Specify the user profile 'Initial Program.'

• Specify the user profile 'Initial Menu.'

After you have defined the the User IDs and set up the user profiles, you can test the set-up by signing on with a valid User ID and selecting Option 1 from Menu 41. If the "Work with Day Care Cases" prompt screen appears, you defined the ID and profile correctly. If you get anything other than the prompt screen, review the profile. If you continue to have a problem, call Cox & Company.

User ID Passwords

Every User ID has a unique password. Each Worker is responsible for maintaining the confidentiality of the password and for changing it periodically.

Use Forms to assemble data from manual records.
Cox & Company can give you a hard-copy form on which you can write down data collected from manual records. Some users find it easier to compile onto paper all the data needed for the ONECase tables and files before attempting to key the data into the system files. 

Decide security level for each Worker

Cox & Company will work with you to assign Workers to security groups, each of which may have different levels of access to the ONECase data files. We will also show you where and how to tell ONECase the Workers who belong to each group. Controlling access to data about your clients can be an important issue.
