STEPS: To Add a Person

Step 1: Access “Work with Data About Persons”
Step 2: Check the database for duplications
Step 3: Add a Person record
Step 4: Key basic demographic Person data
Step 5: Key additional Person data
Step 6: Save the Person data

ONECase maintains demographic data about each Person related to a case carried by the agency. The agency should sets up a Person record for every client, perpetrator, foster parent, day care provider, parent, spouse, and any person materially related to a case. The data maintained is the same data that might appear on a "face sheet".

All ONECase workers in the agency share the Person data. Changes made to Person data are immediately available to all workers. When address data are changed, the system automatically sends a message to all workers carrying the person as a client in a case.

The system automatically assigns a unique nine-digit Person Number to each person known by the system. The data record can be accessed by this Person Number as well as by other paths such Social Security Number, Last/First Name, and Residence Street Name.

Any worker granted the authority may change the data or add new Person records. Changes or additions posted by a worker without the requisite authority to maintain the data directly must be applied via the Pending Maintenance function by an authorized worker.
