Contact General Information

A Contact is an electronic record of the time a worker spends on tasks related to client service. This procedure provides a way to maintain Contacts and free-form notes linked to them.

Access to Contact data

A worker may maintain only his own Contacts. A supervisor may maintain Contacts for any worker in the supervisor's unit. Designated administrative or fiscal workers may maintain Contacts for any worker.

A worker may not change Contact data after the supervisor "approves" them. A supervisor may not change Contact data after Contacts are closed by a administrative/fiscal worker. Only a worker designated as a "fiscal" worker may change Contact data after the form DSS-4263 is printed.

Contact Status

A Contact with a status of '1' has been added by the worker but has not been approved. A Contact with a status of '2' has been approved by a supervisor. A Contact with a status of '3' has been closed by an administrative or fiscal worker. A Contact with a status of '4' has been transmitted to the state or has been printed onto a form DSS-4263 using the "Print DSS-4263" procedure.

'1' Created but not approved.
'2' Approved but not closed.
'3' Closed but not transmitted.
'4' Keyed into or transmitted to the state system.

At this time, there is no function which changes the status from '2' to '3'. The "Print DSS-4263" procedure changes all status '2' and '3' Contacts to status '4'.

Administrative or Fiscal Worker

ONE/Case supports the designation of one or more Workers who have the authority to close Contacts, re-open Contacts, or print the form DSS-4263 report. The system administrator may assign this authority a worker in any Provider.
