Selecting Existing Log Entries

The five (5) fields in the heading area of the Log Entry screen are the selection parameters for the log entries that will appear in the list section of the screen. A parameter or combination of parameters displays a sub-set of the entire file of log entries. The selection parameters always work in combination.

To display a list of existing log entries, key the values into one or more of these fields and press Enter.

Log Date
This is the date that the log entry was created. Key the 'Log Date' and press Enter to see log entries created (ie, opened) on that date. The default 'Log Date' is the current date, but you can change the date to any valid calendar date. The program will give you a message if you key a date that is not valid.

Reception ID
This field is usually thought of as the physical room or place where visitors are received when they arrive at the agency -- that is, the waiting room or reception area. Each log entry is marked with a code indicating the reception area where the visitor was received on that visit. The Reception ID is the code. By the way, the reception "area" need not be the room or place you think of now -- theoretically, it could be any site from which you want to create log entries.

Visitors or log entries may be created in as many areas as your agency wants or needs to define. You assign the Reception ID codes. It is user-defined and must be defined as a Standard Code. You must define at least one Reception ID but can add as many as you want later.

Provider and Program
A Provider is a logical grouping of services and workers in your agency. Typically, the agency will have set-up Providers as:

The Program code is the ONE/Case code that represents the primary Service associated with the visit or log entry. It is really the service being provided to a client or potentially offered to an applicant.

If you leave either field blank, the program defaults to the 'ALL' value. Key a Provider and/or Program code to display only the log entries linked to these values. Typically, the agency will define codes for the Food Stamps, Medicaid, and Work First services linked to the Provider 'IM'.

Position the cursor on the field and press the F8=Lookup key to display a list of valid providers or programs. These codes have been defined by someone in your agency -- if you have a question, see your agency System Administrator.

Log Entry Status (O/C/W/S)
These codes reflect the status of the log entry. They are not user-defined. Normally, the log entry changes from status code 'O' to 'W' and then to 'C'.

'O' The log entry has been added, but the worker has not picked up or received the visitor.
'W' Worker has picked up the visitor from the reception area but has not yet closed the visit.
'C' Log entry has been closed -- that is, the visitor has left the agency.
‘S’ A visit scheduled in the future.

The worker can display log entries by selecting one of the valid codes or can display all entries by keying 'A' into the Status Code field. 

The program automatically changes the status from 'O' to 'W' when the Worker picks up Visitor from the reception area, ie when you "receive" the visitor. After pressing the F5=Refresh key or accessing the main screen again from the menu, the log entry no longer appears.
