DVD 12/8 Reception Training

Response
Reception can begin any time.
Benefits will increase as more users start using One.case.
Before training day, the workstations must be set up in the Reception area(s).
Training is pretty simple.
However, the role of Reception is somewhat expanded in the One.case world.
Other workers benefit from expanded role.
Reception will assume the very important task of build families in One.case.

Plus, maintaining the integrity of the Person databases.
Important stuff.
I can train any time.

Two items came up during training on the reception module that I would like
changed, if possible. Please advise. Thanks.

* I think I may have mentioned this before, when working on the log
entries you have to type in reception area (main) then when trying to add a
new log F6 you have to type reception area in again. Shouldn't this carry
over the Main to eliminate this step?

Reply: The program saves the Reception Area ID the first time a worker adds
a log entry and uses that ID for the next and subsequent entries for as long as the
worker is signed on. Please advise if the program does not retain/default the ID
after the first add.

* When building families after the head of household is in the system we did this
in the following manner: From the Person screen of head of

household we selected F18 family the family members were listed. To add an
additional family member we chose F6 Add member. A screen came up to put in
person number of look up. When look up is done if the person is not in the
system there is not an option to Add a person as there is at other Person
look up screens.

Reply: Yes, you are correct. In the next refresh release, the program will
do exactly what you are asking for.

The screen I am referring to is CS4000-1. Shouldn't there
be an Add a person option from this screen? Without this, you have to exit
or open another session and go to work with data about persons in order to
add this person. This seems to be a round about way of doing this when
other Person look up screens have the option of adding a person when the
person is not found.

I met with Lynn, Judy and Joyce Fritts (Income Maintenance Program
Administrator) today discussing the reception module and involving Income
Maintenance staff in the building of families procedure. During our
discussion the following questions came up:
* When moving from log entry to search back to log: reception
area Main is lost and must be typed in again. Are we doing something
wrong or shouldn't Main stay as the reception area location until that
person signs off or changes the location?

Reply: Reception Area code sticks after the first add.

* Will the system notify other case workers on a case when a
geographical change is made? Such as, if a CWS person was to change an
address on a client that also has food stamps, will the system
notify the food stamp caseworker? If not, how is this usually handled?

Reply: Yes, the program sends a message and adds a miscellaneous
message, which can be viewed via "Work with Case Activities".

* Can a tape be obtained from the state for FSIS and Child Day
Care information so this information can be dumped into One Case like
the EIS information?

Reply: Yes, a tape is available but we do NOT recommend dumping it into
the Person file.

* During our meeting and demonstration this morning, a break

message was sent letting a worker know someone was waiting in the
reception area. The worker being notified did not have One Case
open. A message was given to the receptionist that worker was notified.
Why is this?

Reply: The program does not confirm that the message was sent unless
the worker is signed on to one.case. Check your facts.

We were under the impression that only if One Case was
open would the receptionist get this message and if the program was not
open a message would be sent stating something to the fact that worker
not available.

Other questions:
* When a worker is setup under one provider such as IM and
transfers to CWS, is there a way for me to change the provider without
deactivating the worker in IM and setting that person up again in CWS? I
can change other info; supervisor name, workers name etc. but I couldn't
find a place to change provider.

Reply: No, you must give the worker another id.

* Darren Kugal, one of the CPS Investigators has been putting
notes in One Case and attempting to use the program. In typing his notes
he was trying to skip lines or make a new paragraph of information and
was not able to. Is there a way to type these notes in a paragraph
format? He wanted interview with parent to be separated from t/c to
reporter, interview with child, etc. Instead the information continued
without any spacing between information.

Reply: The insert key will provide separation.

* Darren also wanted to print his notes and all we could get
it to do was print screen which was not all the notes only the ones on
the screen and also included the directions on the bottom of the page:
F3 exit F5 tab etc. How can he print all of his notes and not get
the directions on the bottom of the page?

Reply: Save the note, then go to F9=Case, press F20. Allegation Notes
will appear and you can print them from here.

Well, at least we are using it now!! But as we use it, we discover more and
more things we don't understand or have questions about.

Reply: Your reward for solving problems is more problems to solve. C'est la vie.
