howto: Lookup a Person Number
The cursor should be positioned on a Person Number field.
Press the ‘F8=Lookup*’ key.
The ‘Lookup Person Number’ screen will appear.
Key the search parameters
Do you know the person's Social Security Number?
If yes, key the number into the ‘SSN’ field, then press Enter.
– or –
Key all -- or part -- of the person's Last Name and First Name.
– or --
Key Street Name.
We do not recommend searching by Age Range, Sounds Like, or Sex.
Press Enter.
A list of person meeting the search parameter will appear.
Examine the list of possibilities
Did the search parameters produce any possibilities?
If so, try to identify the person by full name, age, and/or sex.
If the person you seek is on the list,
you do not need to a record to the file.
Press the ‘F12=Previous’ key.
Press the ‘F3=Exit’ key to leave the lookup program.
If the person is not on the list,
you might try changing the search parameters.
Press the ‘F12=Previous’ to change the parameters.
Using this program a worker can search for a Person Number in the ONECase database. There are several search paths. The
paths may be used separately or on combination. For example, a worker may search for all males, for all males with a Last Name
beginning with the characters 'Smith', or for all males with a Last Name beginning with the characters 'Smith' who are between the
ages of 30 and 40.
The search seeks Persons whose data record contains the values specified. If the data record does not contain a specified value,
the program will not show the Person in the list -- even though demographics of the Person may actually meet the criteria. Any
search variable a worker specify will be operative on the search. If a worker do not find the Person a worker are looking for in the
database, we recommend trying alternate search variables before deciding to add the Person to the database.
To begin the search, position the cursor on the field to the right of the Person Number label and press the F8 key. For example,

The program will present a screen that looks similar to the image below. Note the search paths available to you. You may key any
of the data fields shown. It is a good idea to practice using the paths so that you will become familiar with the programs power and
flexibility. The examples on the following pages shown examples of the possibilities.

RESULTS OF THE SEARCH
The program will display a list of all persons who match the search parameters. You review the list, select the correct person, or
re-run the search. After selecting the correct person, the program returns the Person Number to the screen from which the search
has initiated. Note that the screen shows the search parameters in the heading area.
In the example below the two individuals shown may or may not be the same human being. You must view the screen for each
person to decide. You will find more information about each person by pressing the F17 key. If you do find a duplicate, ie one
human being in the database twice, contact you System Administrator so that the duplication can be removed.
The program will not display the list if there is only one person in the database that meets the search parameters. Instead, it returns
the Person Number to the screen automatically.
The asterisk indicates that the person is no longer "active". That is, the person may have died or moved out of state.

SEARCH PATH EXAMPLES
Search by Social Security Number
The Social Security Number path is looking for all persons whose SSN equals the value keyed, eg, '273728138'. If more than one
person with the same SSN is stored in the database, the search will list both. It does not support partial values, eg '237'.
Search by Last and First Name
This path is looking for persons whose Last Name and First Name meet the search parameters. The search parameter values need
not be the complete name. As shown in the example below, you can key a 'C' into Last Name to list all persons whose last name
begins with that character.

If you do not know the spelling of a person's name such as 'Kwanesha' or 'Qwanesha', try as many possibilities as you can imagine.
Before you give up and add the person to the database, you might try "sounds like" or phonetic spelling.
Search by "sounds like" Last Name and First Name
The "sounds like" search routine converts the names into codes which supposedly are phonetic spellings of the same. Thus,
'Jenson' and 'Johnson' produce the same phonetic spelling. The problem with phonetic spelling is that the routine includes so many
different possibilities, frequently too many to be reviewed effectively. We recommend that you exhaust the partial name searches
before trying the phonetic searches.

Search by address, age range, or gender
These search paths are what they appear to be. That is, the address path displays all persons whose address fits the parameters
keyed. The age path lists all person whose current age falls within the range keyed. The gender or sex path shows all males or
females.

Search path combinations
These search paths may be used in combinations. For example, you could request a list of all males between the ages of 8 and 23
who live on a street whose name begins with the characters 'Glen'. Because there are probably only a few person who could
possibly match those search values, the list is probably going to be very short! Only if it seems to make sense, use the paths in
combination.
There is another drawback. The search parameters you key must be met exactly. If, for some reason, the person's record you are
looking has no address keyed into the record, the search will not include him on the list. This is a very important point. Our advice
-- start with a very wide net first and gradually narrow the paths.
