Step 3: Search for an Existing Application


Before you add a new day care application, you should check the database to ensure that the applicant or children are not already included in an existing day care application. You need to search all Programs since there my be an application for the applicant or one of the children in another Program.

Position the cursor on the Application Number field and press the F8=Lookup* key. The program will display the 'Lookup Day Care Application' screen, similar to the one shown below.

Search by any of the fields on the screen that appears. Naturally, the most direct search field is the Person Number or perhaps the Social Security Number. If you know the Person Number, key it into the field and press Enter. The program will either show the applications that already exist for the person or display a message saying that the person is not an application or child in any existing application.

If you know the Social Security Number, key it into the field and press Enter. The program will respond in the same manner it does when you use Person Number.

Examine the list, especially noting the Program Code and the Status of the application.

You can also search the database by the Last/First Names of any member of the household. You can key partial spellings of the Last and First Names. For example, to search for person named >Mildred Cox=, you can simply key the first letter of each name, then press Enter.

You can also search by Program, but this path is not as efficient. ONECase does not support searching by a combination of Program and Last/First Name.
