howto: Define a Retroactive Enrollment


Many mothers begin day services before approval is finalized. The approval process can take up to 2-3 months. When finally approved, she can be given eligibility retroactively for the earlier months. ONECase supports the reporting of attendance for retroactive months.

The "Print Attendance Sheets" program creates electronic records in the system for each month that a child is eligible for day care services. It prints these records on the hard-copy attendance sheet available for distribution to vendors each month. When you change the beginning eligibility date for a child to an earlier date, the program must “catch up” -- that is, it creates electronic records for all the months now eligible. These months are the “retroactive” months.

The "Key Attendance Sheets" screens present retroactive months in the same sequence as printed on Attendance Sheet.

Example The eligibility date a child is changed from 6/30/98 to 4/08/98.
The JUNE attendance sheet shows an attendance month for April and May, in addition to the regular June line.
