howto: Set-Up Day Care ‘Vendors’
Use “Vendors/Sites” procedure on Menu 48.
Link the Vendor data to a Person Number; add Person record, if necessary.
Key data into as many fields as possible.
Make Address changes in the Person screen (F9).
Press F9 to pull address data from Persons into the Vendor screen.
Run “Vendors/Sites List” on Menu 48 for a list.
In the ONECase Day Care module, a Vendor is a provider of day care services. Each Vendor is defined with a base Vendor Number
of up to five digits and a two-digit Site Number. By convention, the '00' Site is the main or headquarters location. The vast majority
of Vendors will have no additional sites and therefore no Site Number other than the ‘00' default. For example, the Vendor/Site
Number of the Little Wiggles center may be ‘1020', where the ‘00' site value is assumed.
Use the "Vendors/Sites" option on Menu 48 to define the day care Vendors in your county. Most of the data elements are
self-explanatory. Key data into as many fields as you can. If you have completed a source data entry form before attempting to key
Vendor data, keying the data will likely be quicker. More importantly, you may avoid returning later to fill in the blanks.
You can link the Vendor to a Person Number. Use “Work with Data about Persons” to add the Person data, if necessary. Defining
the Vendor as a ‘Person’ lets ONECase include the Vendor as a member of the ONECase Case. Be careful with Last/First Name
on the Person screen -- the Last Name will be the primary characters you may use to lookup a Person. If you need more
information about defining a Person, read the write up about the "Work with Data about Persons" option in the Person section of the
ONECase procedure guide.
If you make address changes in the Person screen (F9), press the F11 key to retrieve data elements marked with a '+' from the
Person screen.
Run "Vendors/Sites List" on Menu 48 for a complete list of Vendors.
Maximum Enrollment.
You can specify the maximum number of children authorized for subsidized slots. When you enroll a child, the enrollment program
will give you a message if the total enrolled exceeds this maximum.
