howto: Define the Household
If there are no other members in the applicant's household, go to Step 7.
Check whether the applicant's family is set up.
Type 'F' beside the applicant, press Enter.
If a list of family members appears, the family has been set up.
If no list appears, the applicant's family has not been set-up.
Set up the applicant's family.
Exit 'Work with Client Statement'.
Press F3 twice.
Go to menu 21.
Use 'Work with Data about Persons' to add each member to the Person file.
For instructions, read 'STEPS: To add a Person'.
Use 'Maintain Family Groups' on menu 21 to create the applicant's family.
For instructions, read 'STEPS: To add a Family'.
Pull the household members from the family.
You should be on the 'Define Household' screen.
Type 'F' beside the applicant, press Enter.
The 'Family Index' screen appears.
Type 'X' beside each family member you want to include in the household.
Press the 'F17=Add Fam to CS' key.
Add members one at a time.
Press the F6=AddPer# key.
A small window appears.
Key the Person Number of the member
Press Enter to complete the transaction.
If you do not know the number, use the lookup function.
Key Relationship codes.
Type the Relationship code for each household member.
Use the F8=Lookup key if you do not know the code.
Press Enter to save the codes.
Maintain the 'Include' flag.
If the Include flag for a member is blank, type 'Y' or 'N'.
Press Enter to save the data.
Save a lot of time by using the F=Family option. Key 'F' into the option column beside the
applicant and press Enter. The system will display all the members of household or family in
which the applicant belongs. Copy the Person Numbers and add them successively to the
Client Statement household.
Who sets up the family in your agency? Remember that the agency will receive significant benefits if someone
maintains the family in the Person module. The family in the Person module is or can be used by all application modules. If it has been set up, the
income maintenance case worker can use the information. The household may have already been set up by a services worker. Or,
the household may have been set up by a reception worker.
Check whether the applicant’s family is set up
To check whether the family of the applicant has been defined in the BASE module, key an 'F' next to the applicant's name on the
'Define Household' screen and press Enter. If there is a family defined, it will appear. If no one has set up the
applicant's family, you will have to do it. Using the instructions below, create a family for the applicant.
Set up the applicant's family
If the applicant's family is not defined, you should define it. Once defined, you can add the members to the statement through the
'Define Household' screen. The effort will cost you a little extra time but it will save time for other workers -- one of the important
ONECase concepts.
If the members are not in the Person file, you must exit the Client Statement program and add them using the
'Work with Data about Persons' -- which is option 1 on menu 21. For instructions on how to do this, read the
'STEPS: To add a Person' in this guide. Be sure to add ALL the persons you will want to include in the
applicant's client statement household.
Now you should create a family for the applicant. Use the 'Maintain Family
Groups' option on menu 21. For instruction, read the 'STEPS: To add a Family' in this guide.
Pull the household members from the applicant's family
If the applicant's household members are already in the Person database, type 'F' next to the applicant and press Enter. The
'Family Index' screen will appear, showing all the members of the applicant's family. Type
'X' next to each member you want to include in the statement household. Press the
'F17=Add Fam to CS' function key at the bottom.

Add members one at a time
Even if you add members using the 'F' option, you can also add members one at a time. To add a member in this latter manner,
press the 'F6=AddPer#' key. Key the Person Number of the member into the small window. Press Enter to complete the
transaction. If you do not know the number, use the lookup function.

Key Relationship codes
After adding members to the applicant household, type the Relationship code for each household member into the *Rlt column. You
are keying the member=s relationship to the applicant.
The single asterisk '*' indicates that a lookup is available on the field. Position the cursor on the field and press the
'F8=Lookup*' key to display a list of valid Relationship codes.

Maintain the 'Include' flag
You may have to key the 'Included?' flag (Incl). This flag indicates whether you must answer certain questions later in the process
for that person. Any member whose 'Included?' flag is 'Y' will appear in the list of members for all the other question types -- except
the F14=Statement questions.
To see what we mean, press the 'F19=Income' key. Only household members flagged with a
'Y' appear on that list of members. Press F17 to go back to the 'Define
Household' screen. Change the 'Y' to 'N' for any member (except the '***' applicant). Now,
press F19 again. The member no longer appears.
If you press the 'F14=Stmt ?' key, you will notice that only the applicant appears. That means that those questions apply to the
entire application and not to individual members.
