howto: Add a New Case


Search the database for open Cases for the Client.
Press the ‘F6=Add Case’ key to add case.
Key Service.
Key Relationship.
Key Person Number.
Key Worker ID.

Adding a new Case begins with pressing the 'F6=Add Case' function key on the Selection screen.
Using the function you can add Client and Case Index data to the ONECase database. The program automatically assigns a ONECase Number from the sequential counter maintained for each Provider.

ONECase ensures a unique Case Number for each Provider. The worker specifies the Provider and can select the Service and the Case Worker from a list of choices for the Provider. The Client is the Person receiving the Service. The Relationship is always 'CLT' for the Client. The worker must key the Person Number of the Client and may relate other Persons to the Case, keying the Person Number and Relationship for each. The Status of the added case is always 'OPEN'.

Search the database for open Cases for the Client

ONECase will not let agency workers open a Service for a Client when the Service is already 'OPEN' for the same Client. It will let the Service be opened if there is no Service with an 'OPEN' status for the Client. Therefore, the worker should not to search the database for Service duplications.

However, agency practices may require that a Service be added to an existing Case -- rather than opening a new Case. The worker should search the database to ensure than open Services do not already exist for the Client. To search the database for the open Case, use the Lookup Case Number (F8) function. For more information, see the Lookup Case Number function description later in this guide.

Position the cursor on the ONECase Number field, then press the key to access the "Lookup ONECase Number" procedure.

Press the ‘F6=Add Case’ key to add case (F6)

Make sure that the Provider is correct, then press the F6 key.

The worker specifies the Provider and can select the Service and the Case Worker from a list of choices for the Provider. The Client is the Person receiving the Service. The Relationship is always 'CLT' for the Client. The worker must key the Person Number of the Client and may relate other Persons to the Case, keying the Person Number and Relationship for each. The Status of the added case is always 'OPEN'.

Press F8=Lookup* to Lookup Values (F8)
The F8=Lookup key is operative on any field marked with an asterisk. The function is cursor-sensitive. Use the cursor movement keys to position the cursor on the Service field and press the function key.

Key Service (F8)

Position the cursor on the Service field, then press the key to access the "Lookup Service" procedure. With this function a worker can list Services valid for the Provider in the case. A worker can change the Provider to regenerate the list. Find and select the appropriate Service with any character. The program returns the value to the originating screen. A worker can page down through the list if there are more values than will fit in the window.

Key Case Relationship (F8)

Position the cursor on a standard code field, then press the key to access the "Lookup Standard Codes" procedure. Use this function to list valid Relationships. The values are stored in the ONECase Standard Codes table and apply to the entire system. A worker must use the value 'CLT' to designate the Client in the case. Otherwise, a worker may select any Relationship. 

Key Person Number (F8)

Position the cursor on any Person Number field, then press the key to access the "Lookup Person Number" procedure. Use this key to access the "Lookup Person Number" procedure. For more information, see the guide.

Key Worker ID (F8)

Position the cursor on the Worker ID field, then press the key to access the "Lookup Worker ID" procedure. Use this function to list all Workers assigned to the Provider. Each Worker enrolled in the ONECase system must be assigned to a Provider.

By pressing the F12 function key a worker can access a screen that lets a worker search by Worker Name or by Supervisor ID.
